Pursuant to Article 13 (1) and Article 13 (2) of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, “GDPR”) (OJ L 2016, No. 119, p. 1), we process your personal data pursuant to the following rules (GDPR Privacy Notice):

  1. The National Science Centre with its registered office in Krakow at ul. Twardowskiego 16, 30-312 Kraków (the “NCN”) is the controller of your personal data.

  3. The NCN processes personal data pursuant to Article 6 (1) (a), Article 6 (1) (b) or Article 6 (1) (c) of General Data Protection Regulation.
  4. Your personal data will be processed as follows:

    The NCN will process your personal data pursuant to Article 6 (1) (c) of General Data Protection Regulation, in conjunction with Article 20 of the Act on the National Science Centre of 30 April 2010 (consolidated text in Journal of Laws 2018, item 947):

    Your personal data will be processed in order to meet the legal obligation and perform the tasks performed in the public interest. The footage captured by the surveillance cameras will be stored for up to 14 days and will afterwards be deleted.

    • individuals applying for funding of a research project, research activity, fellowship or doctoral scholarship:
      • evaluation of the funding proposal for a research project, research activity, fellowship or doctoral scholarship

      In addition, your personal data will be processed for the purpose of evaluating the NCN’s own tasks, reporting, dissemination of information on the NCN’s calls for proposals throughout the scientific community, implementation of other activities governed by generally applicable laws and for archiving purposes.

    • experts:
      • evaluation of proposals submitted to the calls for proposals and compilation of the ranking lists on that basis
      • merit-based evaluation related to the settlement of awarded funds
      • other evaluation procedures related to the implementation of NCN’s tasks
      • payment of remuneration for evaluation, participation in the Expert Team meetings, and reimbursement of travel expenses according to the NCN’s regulations, until the financial settlement of such activities

      In addition, your personal data will be processed for the purposes of evaluating the NCN’s own tasks, reporting, dissemination of the information on the NCN’s calls for proposals throughout the scientific community, implementation of other activities regulated by the generally applicable laws and for archiving purposes

    • Visitors in the building, video surveillance:

      - Article 6 (1) (c) to ensure public security and protect property in monitored areas.  

  5. Your personal data can only be collected by entities authorised to do so pursuant to generally applicable laws. Your degree/academic title, name and information on your employer will be disclosed on the list of experts and will be available to anyone searching the NCN website.  
  6. Your personal data will be processed from the moment they have been collected as long as it is necessary to achieve the purposes laid down in point 4 and to investigate any related claims, for the period required by generally applicable laws and for the period of storage as defined by the NCN’s records management procedures and the Uniform File Classification System.
  7. Due to the processing of your personal data, you have the right to access, correct or delete your personal data, restrict the the processing of your personal data and to transfer it. Your rights may differ depending on the legal basis pursuant to which your personal data is processed.
  8. If personal data is processed pursuant to a consent of the data subject (Article 6 (1) (a) of the GDPR), you can withdraw withdraw your consent at any time. Your withdrawal will not affect the compliance of the data processing pursuant to your prior consent with the applicable laws.
  9. If the General Data Protection Regulation is violated, you can lodge a complaint with the President of the Personal Data Protection Office.
  10. If personal data is processed on the basis of a consent of the data subject, the data is disclosed to the data controller voluntarily.
  11. You must disclose your personal data if it is required by the applicable laws or a contract between parties.
  12. The processing of your personal data may be automated and your data will not be profiled.
  13. Your personal data will not be transferred for processing to third parties/ international organisations (except in the case of international calls for proposals co-organised with other institutions).

    Your personal data concerning your role, type, scope of work and remuneration in the project will be processed for the purposes of supervision, control, financial and accounting operations, audits performed in the course of and after the completion of the project or research activity, as well as evaluation of implementation and settlement of the funding agreements. In addition, your personal data will be processed for the purposes of evaluating the NCN’s own tasks, reporting, dissemination of information on the NCN’s calls for proposals throughout the scientific community, implementation of other activities governed by generally applicable laws and for archiving purposes.

    - persons co-drafting project documents:

    your personal data, i.e. contact details, will be processed in order to evaluate the funding proposals for research projects, research activities, fellowships or doctoral scholarships, supervision, financial and accounting operations, audits performed in the course of and after the completion of the project, evaluation of its implementation and settlement of the funding agreements. In addition, your personal data will be processed for the purpose of other activities governed by generally applicable laws and for archiving purposes.

    - persons co-drafting documents relating to the research activity:

    Personal data of persons co-drafting documents relating to the research activity, i.e. their function in the research activity, will be processed for the purposes of supervision, financial and accounting operations, audits performed in the course of and after the completion of the research activity, evaluation of its implementation and settlement of the funding agreement as well as establishing, pursuing or defending against any claims. In addition, personal data will be processed for archiving purposes.
